Registration and Payment

You are strongly advised to read carefully over the mechanics, character design, and intimacy/violence policies. Prior to sign-up, it is important to consider that

  • This larp may be intense (emotionally, creatively, and physically) and will not suit the comfort levels and preferences of all larpers
  • Character preferences will directly impact a player’s gameplay, resulting in less comfortable accommodations, time constraints on art-making, in-game competitive advantages, and/or dish-washing responsibilities. It’s highly unlikely that we’ll be able to accommodate any changes to these preferences down the line, so please be aware of what you’re opting in for when filling out the sign-up form
  • 80% of the spots will be assigned by lottery, with the remaining 20% reserved for friends of the organizing team
  • Please be honest about your preferences, but note that we need to fill a certain number of spots for each Major, so the more flexible and broad your preferences, the easier you will be to cast
  • This is a larp with an emphasis on physicality. Per Katrine Wind’s “House of Bravery” model, in order to participate in this larp, you should feel comfortable with being touched on the arms, holding hands, and receiving a hug from an out-of-game stranger

Disclaimer: Depending on the spectrum of sign-ups we receive, we may give a small advantage in casting to players with practical skills and/or training in artistic disciplines. However, technical abilities will have little to no impact on the outcome of your character’s performance in the retreat competition.

Sign-ups are open, and the deadline for signing up is January 1, 2026, 11:59 PM EST. Applications received after the sign-up deadline will be added to the waitlist.

Payment and Refund Policy

The ticket price for Vanitas is $750. Lodging, meals (Thursday dinner through Sunday breakfast), and art supplies are included in your ticket, but you’re responsible for your own costuming and transportation to and from the venue, as well as the cost of any damages incurred as a result of your (or your character’s) actions.

You will have the option of paying the full ticket price at once or in three separate monthly installments. Due to billing fees, the total cost of paying in installments will be slightly higher than all at once.

The first payment is due by March 1, 2026, 11:59 PM EST.

Refunds

You’ll receive a full refund if you cancel within 30 days of the first payment deadline. As such, the refund deadline is March 31, 2026, 11:59PM EDT. After 30 days, you will be expected to find your own replacement in order to obtain a refund.

The organizing team will, of course, aid you in the search and conduct most of the heavy-lifting by contacting waitlist reserves, but the financial responsibility for the ticket and refund fall entirely on the participant.

We created a Pinterest board (because of course we did) to capture the vibes, setting, and aesthetics we envision for this larp, as well as to inspire the sort of experimentation with art and physicality that we’d like to encourage in our players.
